If you’ve ever spent three hours on a Friday afternoon manually copying data between spreadsheets, you already know the problem that VBA solves- you just don’t realize it yet. VBA stands for Visual Basic for Applications, which is the built-in programming language of Excel. You can use VBA to automate just about anything you do with the software manually. This includes fetching data, crunching numbers, creating reports, sending e-mails- basically anything you normally do with the keyboard and mouse. Once you write out the directions, Excel performs them every time without your interaction.

While programming language sounds daunting, the core concept is quite simple. You’re basically telling Excel what you want to do in a series of steps. If this happens, do this. If not, do that. Do this 100 times. Skip these 5 rows. Once you get it, your approach to tedious processes changes- they become tasks that you can train Excel to perform for you rather than do yourself.

So how do you start off?

Well the first thing is to know about the Developer tab. It is not turned on by default in Excel-this is kind of like a shop locking all its useful tools away in the back room. You just need to go File Options Customize Ribbon and check the Developer box-that is it, it turns on for you. All the useful things such as the Macro recorder and the Visual Basic Editor are in this tab.

If you have never written a line of code before, the easiest way to start is to use the Macro recorder. Just hit the record button then do exactly what it is you want the macro to do, then hit stop. You will have a piece of code now, where all the syntax to perform what you just did has been entered for you. It isn’t always ideal code, and that will be dealt with later, but for a starting point, it’s really effective.

One of the most commonly missed items, which can lead to great confusion, is that recording macros uses absolute references by default-what this means is that if you click on A1, it will always go to A1 and will never go to wherever your cursor happens to be-you need to turn on “Use Relative References” (hit the button before you record your macro). When you have investigated the recorded code to the extent that you feel you have seen enough for now, it is time to open the Visual Basic Editor directly (Alt+F11). Modules – The Key to Organization

The first time you open the VBE the left pane has the Project Window where the structure of your workbook appears. A Module fits into this structure much like a folder with a name on it. A very common mistake is just sticking all of your code in ThisWorkbook or Sheet1-those objects have specific roles and you are only making trouble for yourself in the future by dumping general macros into them. If you plan on having general macros, or any custom function for that matter, you need to insert a separate module for it.

Once you have inserted the module you need to name it. Macro1 doesn’t mean a thing in 6 months, Sub DeleteBlankRows() tells you exactly what it is doing. Same with the modules themselves: ModReportTools, ModDataCleanup-any kind of naming that makes the project easy to navigate when it gets larger. Add comment lines (those start with a ‘) to any code that isn’t self-explanatory. That code you think of as self-explanatory now will seem like a different language altogether after a weekend away.

It is also good to get a handle on the difference between a public versus a private Sub right away. A Public Sub will appear on the Excel macro list and be callable from a button. A Private Sub can only be called from another Sub or Function within that module-good for helper subs and functions that are called from elsewhere in the module but that you don’t need to show on the list of Excel macros.

The object hierarchy – how to map excel’s structure to code.

Everything in VBA follows a hierarchy: Application (Excel itself) which contains Workbooks which contain Worksheets which contain Ranges. The full reference to A1 on Sheet1 is thus Application.Workbooks(“Book1“).Worksheets(“Sheet1“).Range(“A1“) ( although often this is too verbose and “Range(“A1”)” or “ActiveCell” suffice). If you can get your head around this then the rest of VBA should start to make a lot more sense!

Get to know this early. Documentation is available through placing the cursor over a keyword in the editor and hitting F1 which takes you to a help file for that object/property or method ( with parameters and examples too). The object browser (F2) is useful as well, showing all available objects.

What the macro recorder does wrong and how to do it right.

Here’s the unvarnished truth about recorded macros: they do work but they are clunky. One way the recorder tends to act is that it “selects” whatever it is about to “do something” to. It’s kind of like picking up a pen, then setting it down, picking it up again and then writing. In the code, it looks like this:

You can shorten that to one line:

This is no great shakes in a small worksheet, but in a 10,000-row file it can be the difference between a macro that completes before you’ve had time to even brew your coffee and one that leaves you fetching another. So, strip out the Select/Selection wherever you find it.

The With…End With block is another thing that the macro recorder rarely uses even though it should. If you are changing a number of different properties for one object, grouping them is faster than typing out the entire reference to the object time and time again:

This is cleaner and also makes for faster execution time and less typing when you need to modify something.

Properly declaring your variables is another important step. When you neglect your Dim statements, VBA “guesses” what the variable type is. This will usually work just fine until it doesn’t! In the case of a variable that will be a counter for rows (something that has to be higher than 32,767), always use Long instead of Integer. One extra line to Dim your variable saves a great deal of future hassle.

The last step is “dead code.” That’s the stray keystrokes the macro recorder picks up even when you didn’t intend it to, such as the infamous Application.CutCopyMode = False. Make sure it is gone. The leaner the macro, the better.

Do I need to download VBA separately?

No – and that’s pretty much the point. Microsoft bundled VBA with Excel starting in the early 90s and it has been a part of Excel in one form or another ever since. No need to download it, no need to install it separately, no need to purchase an extra license for it. It’s built into the Excel you’re already using and you just need to enable the “Developer” tab to be aware it exists.

With that said however, you do need to realize that many companies prevent macros from running, for good reason. Macro-based viruses have and do still exist, and macro viruses are still appearing on many phishing scams, so some companies disallow macros, or at least digitally unsigned macros. If you fall into this situation you need to understand what your company allows before you can run macros.

For individual or small team usage of macros, assuming you know you aren’t working with a malicious Excel file, this shouldn’t be a barrier for you though, it’s there ready to go with no work needed from your end.

So why even bother with VBA in 2025?

People have been pronouncing VBA dead for a good decade now. It’s refusing to die. And it’s because people aren’t using it despite the rhetoric – a lot of people still need it, they’re stuck with Office, or have no desire to change the current spreadsheets they’re using (which probably run with VBA macros in the back end). With over a billion Office users out there Excel can hardly afford to lose it, because VBA is truly embedded with it (no install, no IT department sign off) and so good for quick automation tasks locally and with legacy files that aren’t going to be re-written for at least a little while.

Granted, Python is more powerful if dealing with a large amount of data, or with serious data science. Power Query is excellent for transforming data, Power Automate is fantastic for automating workflows… None of those are directly embedded in Excel though, nor will they manipulate cell objects in the same way as VBA will.

If your day-to-day involves finance, accounting, operations or any sort of position that depends on working in Excel then VBA still adds a bit of value to your skills profile. Most users don’t write their own macros and if you are able to (and it actually works when you tell it to) it will still be seen as an advantage that sets you apart, rather than just a quirky hobby.

The learning curve isn’t a tiny slope to be honest. You will get lost, you will write VBA that is clearly rubbish, and it will probably not work for you the first time (or the second time, or the tenth). Push through. All the things that don’t work tell you what you still need to learn, and a list of what’s not working, and what you need to do to fix it, will probably be more valuable than anything you’ll find in online tutorials.

There are a few updates in file transfer, updates in multi-language support, updates to the file comparison done by the built-in editor, synchronization updates, and a couple of buttons that were added more easily accessible on the tab bar. None of this is really major, though.

Honestly, I’m not wowed about this new 2025 release, and didn’t really expect to be. The point of this program is moving files reliably and fast and if the program can do that in a stable way than that is basically all that it needs to do and exactly why Total Commander is still relevant after all of these years.

What does Total Commander really do?

The program itself will be appealing to those who frequently copy, move, or transfer information between locations or devices. Even those that don’t often work this way, though, can find it useful when, say, downloading a large movie or game, transferring big files between drives, getting files from a phone onto a computer (and vice versa), or extracting a ZIP file with one folder while copying a file at the same time. For any of these actions Total Commander is noticeably faster than Windows Explorer.

Have you ever had this happen on Windows? While accessing folders on the C: drive, especially, you are forced to wait before the file view even comes up. This is due to Windows indexing its directories and looking for potential threats to system stability which requires the system a moment. You may download the software in either 32-bit or 64-bit; because most systems running nowadays are 64-bit I recommend that you download the 64-bit version if your operating system allows. The download file should be about 6.7 MB (if the downloaded file is of roughly this size than that means you have downloaded the right version). You can download from alternate download sites listed but I recommend using the main download source from the homepage.

How do you install Total Commander?

The installer is reminiscent of older WindowsXP installations with a simple dialog on a blue background with not much else. All you need to do is:

Run the installer, choose your language and press next. The default location is C:\Program Files\totalcmd, which is perfectly adequate for virtually anyone. Press next a couple more times and OK. This takes about a minute and installs no unnecessary additional programs, toolbars, or similar elements.

These were the Windows instructions as I installed it for the PC version but it really could be any older or current Windows system. On opening the program you are met with a “version” window telling you the version is, in large letters, 11.50, there’s some registration/licencing info and a (slightly annoying) selection of number buttons from 1 through 3. You need to click whichever number the screen is telling you to click. For me it was 3 and it popped up saying press the number 3 and so I did and got through the menu. You can’t just skip this window, you need to click on whatever number it is asking for.

When this has been done a configuration window opens. In this window you can tweak and adjust various settings, but the default options seem to be alright so you shouldn’t really need to tweak very much here at all. Any option that you might want to look at the settings for, they are covered in the help file that comes with the program. I don’t really think I need to go through every single one in detail here – I would prefer to give you the gist of the differences from previous versions.

What I did notice was how practical the file transfer window seemed. It has the folder trees top and bottom and that helps you get where you want to go quickly; as there’s no waiting around when you want to open a folder, it just opens. I thought that was well worth changing for. The program was already fast before, but seeing the entire directory tree within the transfer and destination panel is good. Drag and drop also seemed fairly good in the transfer window.

The program really doesn’t take any major technical know-how to use. The main purpose is really just to move stuff from one spot to the other. The left window shows you the file or directory that you want to move to the panel on the right, where it will end up when you send it over by simply picking and sending or drag and drop it over to the destination screen. Other than that there really isn’t too much that needs to be done on the program with the other windows/menus, besides the configuration and transfers, etc. It may take the more casual user a minute or two to find out how to utilize the menu to setup the transfers if they want to utilize the FTP functions, but I think those who utilize the FTP features of the program will most likely know their way around without any issues at all.

Within minutes the average person will be able to figure out what is going on with the program just by playing around with the menus. Having a general grasp of the English language would be nice, as there are apparently about 10 different languages that you can change the language within the program to, but, it is all visual enough that no one will be lost any more than any other program they might download.

Some people try to recover deleted files by using the System Restore tool. But that is not much use if the hard drive has been formatted. It is then that you really need a data recovery program like the R-Studio.

How to recover files with R-Studio?

When you fire up the program, you will be greeted by a window listing all the drives on your computer. Once the scan is done, all the files that got deleted from your computer will show up on the right side of the window. Can R-Studio Recover all files 100%?

The sad truth is that if the partition on your hard drive is in a bit of a mess, it is not always possible to get the data to work properly. R-Studio and other programs are pretty good at pulling data from formatted disks, but do not believe the hype; 100% file recovery just ain’t gonna happen. I know from firsthand experience that I have been able to recover a bunch of files, but not all of them. If you are lucky, you can get smaller files back with no problems (think .TXT files). But the bigger the file, the less chance you have of getting it back in one piece. How you format the disk is also key the way you do it can make all the difference.

The Impact of Formatting on Data Recovery

If you use the Quick Format option when formatting, your chances of recovering data are a lot better. But if you use the slow format, you are pretty much at the mercy of luck and if you go and save new data to the disk after you have formatted it, you might as well kiss any hope of getting your old files back goodbye. The more times you format, the lower your chances become. So try to get on it ASAP if you are looking to recover any deleted files.

Tips for Formatting

My advice when it comes to formatting is to use Quick Format every time. This way you will keep your disk nice and tidy, less chance of fragmentation and easier data recovery. Just bear in mind that recovering data from a formatted hard drive is never going to be a walk in the park.

Warning!

If you go and save new files to a disk that has already been formatted, you are basically making it impossible to recover any of your old files. And the more often you format, the lower the chances of success become. So if you do need to recover your deleted files, do it ASAP don’t wait and risk losing your data for good.

How to use R-Studio?

Before jumping in, take a bit of time to read the guides or watch some YouTube tutorials on how to use this thing – trust me, it is a bit of a learning curve for newcomers.

If you have gone and formatted your hard drive and thought all was lost, R-Studio might just be the answer to your prayers. First, fire up the program have a look at the interface. There is a list of hard drives over on the left side of the screen so just hover over one of those, right-click with your mouse. Then click on the SCAN button that pops up – and let the scanning process begin.

Now, I know the settings screen can look a bit daunting, but honestly you do not need to fiddle with most of them. There is one important exception though – you need to change the Save to File setting. To do this, just tick the box next to Save to File and, then use the Browse button to pick a spot to save your scan results. This will create a kind of recovery template. Which is a lifesaver in case anything goes wrong, you need to pick up where you left off.

After that, if you want to recover more data during the scan, you should check the Detailed option. This does a much more thorough scan which should give you a recovery success rate of up to 90%, which is pretty good if I do say so myself.

What to do to increase data recovery success?

If you go for the simple option, your data recovery chances plummet to around 45%. Now this is because simple just does a quick surface scan that gets the job done fast, but if you want the best possible chance of recovering your stuff then it is worth opting for the Detailed option. It takes longer yes, but trust me it is worth it.

In a nutshell for the best possible recovery rate, you should always go with the detailed option.

Starting the Scanning Process

Once you have got all your settings sorted, just click on that SCAN button, sit back, let the program do it is thing. Depending on how much data you are dealing with, the scan might take a while. But just be patient, let it get on with it.

R-Studio Interface & Functions

On the left hand side of the screen you will see a window listing all the hard drives that can be recovered. Over on the right hand side is where you will see how the scan is getting on and how many files are coming back.

What R-Studio looks at?

R-Studio goes through the following bits & bobs when it is scanning.

• NTFS Boot Sectors because, well, they are important, are not they.
• FAT Table Entries because it needs to know what it is dealing with.
• UFS/FFS SuperBlock & CylinderGroup because well, same reason as above.
• Specific File Documents because it is all about the files at the end of the day.
• NTFS Restore Points and the like.
• FAT Boot Sectors for good measure.
• HFS/HFS+ VolumeHeader (Apple users will know this one).
• NTFS Directory Entries because it is all about finding those files.
• ReFS MetaBlock (if you are on Windows 11 or 10).
• Ext2/Ext3/Ext4 SuperBlock because… (you guessed it).
• HFS/HFS+ BTree+Node (Apple users again).

Post-Scanning Procedures

When you have finished with the scanning process, you will have two disk partitions to deal with.

Recognized0:

This is where you will find all the directories that still existed on your hard drive before it got wiped. Go into the Recognized0 folder and then into the Root directory to find all the deleted data from the hard drive. It is all right there.

Raw Files

This is a good place to look if you are specifically after certain file types. It organizes recovered data by file type, so you might find what you are looking for faster if you search here. That being said, if you want to recover everything, then the Recognized0 folder is probably a better bet.

Recovery Process

Once you have chosen the folders you want to recover from, go ahead and kick off the process with the RGH button. You will get a window coming up where you can tell it where you want to save the recovered files.

Important Warning

Do not even think about saving the files back onto the original hard drive! You need to save them onto a different disk altogether. If you put them back on the same drive you will run the risk of messing up the disk surface and ruining the recovered files. Using a separate disk keeps the disk surface nice and intact, lets you recover everything without losing any of the data.

Reminder

If you get a power outage in the middle of scanning, do not go and rescan everything. Thanks to the recovery template you saved beforehand, the process will just pick up where it left off. If a power outage does happen, click on the drive button in the top menu and select Open Scan Information. Then just navigate to the folder where the recovery template is stored (it is usually in the Documents/R-TT/R-Studio/ folder) and pick the file from there. Click the open button and you will be right back where you left off.
